Revolutionizing IT Asset Disposition for a Fortune 200 Company

A Fortune 200 company was in search of IT Asset Disposition (ITAD) services and logistics to service over 1,400 pickup sites with varying degrees of truck accessibility. The company had been using a provider that was out of state and required a full truckload before scheduling a pickup. The company wanted the ability to manage the entire asset portfolio through one asset manager in their national headquarters and preferred to work with a single ITAD vendor for the entire process. They also needed a partner that would provide indemnification against data breaches and improper recycling.

Challenges:

Logistics: Coordinate the removal of IT assets from over 1,400 locations with vastly different accessibility profiles while returning them to one central processing center in a cost-effective manner.

Data Security: Provide chain of custody and secure handling and erasure of data-bearing devices throughout the entire process.

Environmental Responsibility: Guarantee that none of the over 100,000 pounds of assets per year would end up in a landfill.

Tracking and Reporting: Develop a process and tracking that would be easily managed by one person utilizing the company’s tracking software.

Our Solution: e-Waste developed a customized, nationwide ITAD program that included;

Flexible logistics:
– eCrate solutions for sites without packing capabilities
– LTL shipping for manufacturing and distribution centers
– White-glove service for data centers, high-rise offices, or sites with no dock/freight elevator
– Direct pickups for retail stores and remote offices

Centralized coordination:
– One dedicated e-Waste contact worked directly with the client’s national asset manager for streamlined communication and accountability.

Secure chain-of-custody + indemnification:
– e-Waste assumed chain-of-custody at pickup.
– Provided up to $5M indemnification per incident for data breaches or improper recycling.

Secure and Sustainable Recycling:
– Every asset was logged (make, model, serial, asset tag), securely processed, and sanitized per NIST 800-88 and R2v3 standards.
– Serialized reporting integrated easily with the client’s asset tracking system.
– All assets processed under a zero-landfill policy

The Result

Together, we created a scalable efficient process combining eCrates, LTL shipping, and our fleet to service 1,400+ locations nationwide. Within weeks, a single asset manager and one logistics manager seamlessly managed all activity. Every solution ensured R2v3-compliant data security, chain-of-custody at pickup, and zero assets have been sent to the landfill. Ten years later, our partnership remains strong as we continue to grow together.
